Client Onboarding & Engagement Information

At Blackwood Bookkeeping Solutions, we believe in transparency, professionalism, and empowering our clients with the information they need to feel confident in our partnership.

This page provides an overview of the key documents and expectations that form the foundation of your engagement with us. These resources support clear communication, ethical service delivery, and regulatory compliance.

We encourage you to read through the documents below to better understand your rights, responsibilities, and what you can expect when working with our team.

These documents are reviewed and updated periodically. We recommend checking this page occasionally, and we will notify you of any significant changes that may affect our engagement.

Our Role as Registered BAS Agents

Blackwood Bookkeeping Solutions Pty Ltd is a registered BAS Agent, authorised to provide BAS services including advice, interpretation, interaction with the Australian Taxation Office (ATO), and lodgement of forms in respect to GST, BAS obligations, payroll reporting, and superannuation guarantee requirements.

All BAS services must be provided by a registered BAS Agent or Tax Agent.

As registered practitioners, we are regulated by the Tax Practitioners Board (TPB) and are required to comply with the professional and ethical standards prescribed under the Tax Agent Services Act 2009.

Client Responsibilities and Information Accuracy

To deliver our services efficiently and correctly, we rely on information provided by you.

You agree to:

  • provide complete and accurate records and instructions in a timely manner
  • notify us of any changes to your business, payroll, or contact details
  • respond promptly to queries where clarification is required
  • retain compliant business records, including valid tax invoices and supporting documentation

You remain responsible for the accuracy of information contained in any statutory return or lodgement.

Payment Approval and Release Responsibilities

As part of strong governance and evolving regulatory compliance, it is important to understand the boundary between preparation and authorisation of payments.

The Client acknowledges and agrees that:

  • Blackwood Bookkeeping Solutions may assist with preparing payroll, supplier payment batches, and superannuation contribution submissions based on information provided by the Client.
  • The Client remains solely responsible for reviewing, approving, and releasing all payments from the Client’s bank account, including completing any required token, approval code, or multi-factor authentication step.
  • For security and compliance reasons, Blackwood Bookkeeping Solutions does not authorise, execute, or release payments on behalf of the Client.

This approach ensures you retain full control of all transactions while we provide the administration and reporting support you need.

Pay Day Super and Superannuation Timeframes

Superannuation contributions are generally considered paid only when received by the employee’s superannuation fund, not when they are submitted through software.

Clearing house processing timeframes may take 10-15 business days, meaning Client approval must be completed sufficiently in advance of statutory due dates.

Pay Day Super reforms are intended to introduce shorter required timeframes (including contributions being received within 7 days once the reforms take effect). We will continue to support clients in meeting these evolving obligations through clear processes and timely preparation.

Regulatory Updates (Including AML/CTF Reform)

Australian regulatory requirements may change over time, including reforms to Anti-Money Laundering and Counter-Terrorism Financing (AML/CTF) obligations for certain payment-related services.

Where required, we may update workflows, approval requirements, or engagement boundaries to ensure ongoing compliance. Clients will be notified of any material changes affecting service delivery.
