At Blackwood Bookkeeping, protecting sensitive employee data is a top priority. As part of our commitment to cybersecurity and best practice, we do not accept new employee information via email. Email is not a secure channel for transmitting personal details like tax file numbers, bank account information, or superannuation details.
To ensure secure and compliant onboarding, all payroll clients will follow one of two pathways based on how employee onboarding is managed in your business.
Which Path Applies to You?
Pathway 1: You Use an Electronic Onboarding Platform
(e.g. Employment Hero, Tanda, Deputy)
If you already use a digital onboarding system, no action is required here. These platforms are designed to securely collect and store personal employee information, and we will access the required details directly from your system.
Please continue to onboard new employees through your existing platform as normal.
Pathway 2: You Do Not Use an Electronic Onboarding System
If you don’t use a dedicated onboarding platform, we’ve set up a secure SharePoint folder for your business where you can submit new employee details.
Here’s how to use it:
- Accept the invitation to your SharePoint folder (emailed to you at the start of our engagement)
- Bookmark the folder link for future use
- Create a new folder for each new employee, using the format: Surname, Firstname (e.g. Smith, John)
- Upload all onboarding documents to that folder (e.g. TFN declaration, bank details, superannuation form, employment agreement, etc.)
- Send us a quick email to let us know the information is ready for review

Please remember that this process is for new employee setup only.
Do not send timesheets, leave requests, or pay-related changes through the SharePoint folder.
All ongoing payroll information should be submitted through our payroll workflow in Karbon.
