If you’re a small business owner and employing staff, there’s a big change coming your way – and it’s called Pay Day Super. While it’s not scheduled to be mandatory until 1 July 2026, forward-thinking businesses (like our clients) are already preparing – and in some cases, already using it.
So, what is Pay Day Super, and what should you be doing now to avoid last-minute stress? Let’s break it down.
What is Pay Day Super?
Pay Day Super is a new requirement proposed by the Federal Government that will mean employers must pay superannuation at the same time as wages, rather than quarterly. The goal is to improve transparency and reduce unpaid super – a positive step for employees, but a big shift for small business employers.
The Seven Day Rule
Under the proposed rules, super must reach your employee’s super fund within 7 calendar days of payday. That means:
- You can’t just schedule the payment.
- You must ensure the money actually lands in the super fund.
- If there’s an error or rejection, you still need to fix it and have it processed within the same 7-day window.
It’s a tight turnaround, especially when dealing with clearing houses, bank delays, or public holidays.
Cash Flow Considerations
Let’s be real – for many small businesses, cash flow is already a juggling act.
Shifting from one super payment per quarter to potentially weekly or fortnightly payments could be a shock to the system, especially for businesses with long payment cycles like construction, trades, or consulting.
The good news? By moving early, you can start building this into your cash flow rhythm now, rather than scrambling in 2026.
How Does this Work in Xero?
Xero is already working closely with the ATO and other providers to ensure Pay Day Super will be supported when the time comes.
In fact, we’ve already transitioned all our clients to Pay Day Super using Xero’s built-in tools. It’s working well – but it didn’t happen overnight.
Xero’s payroll integrates with a super clearing services and allows you to:
- Submit super at the same time as payroll
- Track contribution status
Stay on top of errors or rejections
Steps You Can Take Now
Even though legislation hasn’t been finalised yet, here’s what you can do to get ahead:
- Talk to your bookkeeper or payroll provider. If you’re with us, you’re already in good hands – but it’s still a good time to check in and ask questions.
- Review your cash flow cycle. Can your business handle weekly or fortnightly super payments? Do you need to tighten up payment terms or invoicing processes?
- Refine your employee onboarding. Ask new employees for their stapled super fund details early. If they don’t have one, have a default fund ready to go.
- Ensure your payroll system is up-to-date. Make sure Xero is set up correctly, and consider switching to a faster super payment method if you haven’t already.
- Build a buffer. Even a small delay in bank processing or a rejected payment can cause issues under the 7-day rule. Having a small cash buffer can help avoid penalties.
